The delivery design starts with the data path, hosting, access, and operating requirements. Client-controlled deployment, an approved region, or appropriate European infrastructure can be evaluated for the actual workflow.

No lock-in, full documentation

Every workflow is documented and handed over. We build in n8n, Power Automate, or whatever fits your stack — not a proprietary platform that creates dependency after the project closes.

Tool-agnostic by conviction

We recommend what fits your environment. The right answer might be n8n, Power Automate, custom code, or a combination. We have no vendor relationship that distorts our advice.

AutoMates brings process, technical, and commercial thinking together around a defined business problem. The work begins with the current operating reality rather than a preselected technology.

Each engagement is scoped around the people who own the process, the systems involved, and the decisions needed to make a safe change. Discovery makes the required roles, client responsibilities, and constraints explicit before implementation starts.

The gain-share model is how we stay honest with ourselves. If we can't make a convincing case for the savings before the project starts, we don't take the project.

Answers before the call.

You charge 25% of savings — how exactly do you calculate that?

Before any project work starts, we spend time deep inside the process with you. We map every step, how long it takes, who does it, and what it costs — salary, tooling, error rates, downstream delays. That analysis becomes a baseline: the agreed cost of the current process, in an agreed operating currency—typically USD or EUR—per month. From there, we agree what the automation is expected to save — what steps disappear, what gets faster, what errors stop happening. That projected saving, annualised over Year 1, is the number our fee is based on. You sign off on it. There's no ambiguity later, because we built the number together, in detail, before any contract was signed.

What happens to the people whose work you automate?

The aim is to give your team capacity back, not to remove roles. We automate the processes that steal time from people — the repetitive data transfers, the approval chains that nobody enjoys, the reports that take a Friday afternoon. Not the work where your team's expertise and judgment are what makes it valuable. Most businesses aren't struggling because their people aren't good. They're struggling because their people don't have enough time to do the work that actually matters. That's what we want to change. The goal is that your team wakes up on Monday knowing they're going to spend the day doing meaningful work — not copying rows between spreadsheets.

Do your automations use AI agents that act on their own?

Not by default. Most of what we build recommends or executes narrowly-scoped, well-tested steps, with a human checkpoint wherever a wrong call would actually cost you something. If full autonomy on a specific step makes sense and you're comfortable with it, we'll build that too — but it's your call, not our default.

What do we get from the process mapping even if we don't proceed?

A complete process map: every step documented, costs calculated, stakeholders identified, exceptions noted. That document is yours — fully, without conditions. The only thing that stays our intellectual property is the optimised process design we develop on top of it. The map of what you currently have is always yours to keep.

How do you handle confidentiality? Our processes are sensitive.

Before detailed process information is shared, AutoMates can work under the client’s NDA or its own. The implementation design then documents the relevant data path, hosting, access, retention, responsibilities, and handover requirements. These details must be agreed for the specific workflow rather than assumed as a generic compliance promise.

What does post-launch support look like?

You get a dedicated contact who knows your setup — your tools, your data structure, your process — not a generic helpdesk. Maintenance is priced fairly; we'd rather stay involved and make your automation better over time than walk away at handover. The scope of support is defined in the contract before the project starts. You decide how much ongoing involvement you want. What doesn't happen: we go live and you're on your own.

Do you store or process our data?

The appropriate data and hosting design depends on the process, systems, data categories, security requirements, operating capability, and support model. Client-controlled deployment, an approved region, or appropriate European infrastructure can be considered and documented before implementation.

How long does a typical project take?

Simple integrations: 1–2 weeks. Multi-system workflows: 3–6 weeks. Complex AI pipelines: 6–12 weeks. The process mapping session produces a realistic project timeline before you commit to anything — not a sales estimate.

What do you actually need from our side?

An NDA, access to the relevant data sources, and someone with the authority to approve it. That's the minimum. If you want to host the automation on your own infrastructure, your IT team will be involved in the setup — but that's your choice, not a requirement. We handle everything else.
